How do I schedule and manage callbacks?

Learn how to schedule callbacks, view assigned tasks, and manage follow-ups using Launch Dialer and the Dialer.io Browser Extension

Create callback reminders in Launch Dialer, view your assigned tasks, and call leads back using the Dialer.io Browser Extension.

The previous Reminder feature is no longer available for affected users. If you have callbacks saved through that feature, see “Need your previous callback list?” at the end of this guide.

Important: Save the callback before dispositioning or ending the call.

Review the callback details, then click Schedule Call to save the reminder. If you disposition or end the call first, the lead’s information will disappear from the left panel, and the callback will not be saved. You may receive the following error:


Schedule a callback

  1. Open Launch Dialer. In the left panel, click the arrow beside Add Task Reminder to expand the section.

  2. Expand Contact Information and check the lead’s details. If the information is already filled in and correct, leave it as is. If you need to enter the details again, click Clear Prefilled Info and complete the required fields.

  3. Set Callback Date and Time and Callback Timezone. Enter a future date and time.

    Note: Confirm that the selected date, time, and timezone match the callback time agreed with the lead, especially if you are in different locations.

  4. Under Assign Agent, select the agent responsible for the callback. You can use the search field to find the agent.

    • In Callback Notes, add any useful details, such as what the lead would like to discuss.

  5. Review the details, then click Schedule Call to save the reminder before dispositioning the call.

    After the reminder is saved, “Callback scheduled successfully!” appears above Add Task Reminder. A success notification also appears in the lower-right corner.

  6. Expand My Task List to check reminders assigned to you. Each entry shows the lead’s name, phone number, and scheduled callback time.

  7. Select the appropriate callback disposition, such as Agent Reminder, Schedule Callback, or the equivalent option available in your organization.

    • Email reminder: You will receive an email notification within the 30 minutes leading up to the scheduled callback.


View your callback reminders

  1. In the Client Portal, go to Reporting → Callbacks to view saved callback entries.

    • Callbacks option in the Reporting menu.

  2. Use the date range and timezone filters to find the relevant callbacks. To read the notes entered when the reminder was created, click View in the Notes column.

Manage reminders in My Task List

You can also view your assigned reminders by returning to Launch Dialer and expanding My Task List in the left panel.

After you have completed a callback, click Acknowledge (the green check mark) beside the reminder. The date and time you acknowledge it are recorded in the Acknowledged column under Reporting → Callbacks.

If the callback is no longer needed, use Dismiss (the red X) to remove it from My Task List.


Call the lead back

  1. At the scheduled time, open the Dialer.io Browser Extension and use it to call the lead’s phone number.

  2. Follow the extension’s calling steps. Please refer to this guide

  3. After the call, record the appropriate disposition and acknowledge the completed callback in My Task List.


Need your previous callback list?

If you created callbacks using the previous Reminder feature, contact Support and ask for a copy of your callback list.

When contacting Support, provide your organization name and your agent email address or username.

Use the list to identify each lead and the scheduled callback time. At the scheduled time, call the lead using the Dialer.io Browser Extension. Use Add Task Reminder for all new callbacks
